How it works, in 3 steps
- The visitor asks on your website. From their phone or computer, at any hour: "Do you deliver to Pilar?", "How much is the family plan?", "Do you have size 205/55?". The assistant answers with your information, not with data pulled from the internet.
- The assistant works out what they need. If the question is about buying or booking, it asks two or three short questions: which product or service, quantity, date, area. If it does not know something, it says so and offers to pass the inquiry on to you.
- It reaches you on WhatsApp, ready to close. A button appears that opens your WhatsApp with a message like "Hi, I'd like a quote for 3 alfalfa bales delivered to Luján by Friday". The customer sends it and your team replies from WhatsApp Business, just like today.
If you like, every handed-off inquiry can also be logged in a spreadsheet or in your CRM, along with the page it came from.
WhatsApp API bot or website assistant: the difference
When someone searches for "WhatsApp chatbot for business", almost every offer is a bot connected to the official WhatsApp Business API. They work, but they come with costs and rules worth knowing before you sign up:
| WhatsApp Business API bot | Website assistant + WhatsApp | |
|---|---|---|
| Where it answers | Inside WhatsApp | On your website; the conversation with a person continues on WhatsApp |
| Per-message cost | Meta charges per message for the templates the business sends (promotions, reminders, notifications), and many providers add a subscription or a markup | None: the customer sends the message from their own phone |
| Approval | Business verification, plus templates Meta must approve before you can use them | No Meta approval needed |
| Risk of being blocked | If users report or block messages, Meta can restrict or suspend the number | Your number is not exposed: you keep using regular WhatsApp Business |
| Your number | It stays tied to the provider's platform | It stays yours, on your phone |
| Cost to budget for | Variable, depending on how many messages are sent each month | Predictable: the work is quoted once |
A general summary of Meta's rules for the WhatsApp Business API. Rates and terms change: if you are considering the API, check the current ones on Meta's website.
Why MyLeads recommends the website assistant with WhatsApp
For most small businesses, the problem is not a missing robot inside WhatsApp. It is that the same questions get answered over and over, that late-night inquiries go cold, and that one-word messages like "info" or "price" force you to ask everything again. The website assistant solves all three without adding a variable cost that is hard to predict and hard to justify in the monthly budget.
We are upfront about its limits too: the assistant does not answer messages sent straight to your WhatsApp. For that, WhatsApp Business already includes a free greeting message, away message, quick replies and catalog, and we help you set them up. If your message volume is very high and justifies a bot inside WhatsApp, we show you the API costs before you decide, just as we do with the WhatsApp integration with Pipedrive.
Use cases by industry
Examples of what visitors ask and what reaches your WhatsApp. It is tailored to each business:
| Industry | What the visitor asks | What reaches your WhatsApp |
|---|---|---|
| Restaurants | Are you open on Monday? Do you have gluten-free options? Is there room for 8? | Booking for 8 people on Saturday at 9 pm, with one celiac guest. |
| Tourism and lodging | Are pets allowed? What does the day in the countryside include? How do I get there without a car? | Inquiry for 2 adults and 2 children on Sunday the 20th, day-in-the-countryside package. |
| Manufacturers and factories | Which size do I need? Do you ship to the provinces? Do you sell wholesale? | Quote request with product, sizes, quantity and delivery town. |
| Shops and retail | Is the blue model in stock? How much is shipping? Can I pay in installments? | Wants the blue model in size M, pickup at the store tomorrow. |
| Repair shops and technical services | Do you repair this brand? How long does a quote take? | Equipment, fault, area and a photo requested for the quote. |

Where the answers come from
- What you already have: your website, your FAQs, your price list and your hours.
- What changes often: stock, availability or promotions can come from a Google Sheet you update yourself, without touching the website.
- Clear rules: it does not make up prices or promise anything that is not loaded. If it does not know, it says so and offers to pass the inquiry to you on WhatsApp.
Before launch we test it with your customers' real questions, and during the first weeks we review the conversations to fine-tune the answers.
How much it costs
It is quoted per project: it depends on how much information needs to be loaded, whether it reads a stock spreadsheet and where you want inquiries logged. In our web design plans it comes with the Enterprise plan, which has custom pricing; it can also be added to a website you already have. The AI that answers has a usage cost based on the number of questions, which we show you in the quote. What you will not pay is a per-message WhatsApp fee. The assessment is free.
