Signs your business needs a CRM
- You use WhatsApp as your to-do list and the important messages end up buried at the bottom.
- Quotes go out, but nobody writes down when to follow up.
- When a salesperson leaves or goes on vacation, nobody knows where things stood with each customer.
- You spend on ads and don't know how many sales each campaign brought in.
- You have a customer spreadsheet that everyone fills in differently, or that nobody updates.
If two or more of these sound familiar, a simple CRM will do more for you than any new campaign.
The problem: leads in four channels and no single list
We see it in almost every small business that reaches out to us: leads come in on WhatsApp to one phone, on Instagram to another, by email and through the website form. Some get answered, some don't. A quote goes out and nobody follows up. And when someone asks "how many leads did we get this month and how many did we close?", nobody knows.
It's not a matter of effort, it's a matter of order. A CRM fixes that.
What a CRM is, in three lines
- A list of all your sales opportunities, each one at a stage (new, contacted, quote sent, won, lost).
- Each customer's history: what was discussed, what was sent and when.
- The next step for each opportunity, with an owner and a date.
Why Pipedrive?
We work with Pipedrive a lot because it's easy for small teams to understand: the pipeline looks like a board of columns and you move each deal by dragging it. It has a mobile app, connects with lots of tools and lets you export your data whenever you want. It's not the only option, and if you already use another CRM, we'll check whether it works for you.
The Pipedrive license is purchased directly from Pipedrive, in your name, so the data and the account are yours. It's billed per user per month, in US dollars, with several plans depending on the features, and there's a free trial. Prices change, so before you decide we go over the current plan and price on their website with you.
What we set up
| What | Why |
|---|---|
| Pipeline stages | That match how you actually sell: from first contact to getting paid. |
| Custom fields | Industry, product, area, budget, whatever you need to filter and decide. |
| Source of each lead | Campaign, ad, Instagram, Google or website, so you know what brings in customers and not just clicks. |
| Your website forms | Each form creates the deal in Pipedrive with its details and source. That's how the form on this very site works. |
| Activities and reminders | Call, send a quote, follow up: with a date and an owner. |
| Metrics dashboard | Leads by channel, close rate and response time, to review every week. |
| Training | So the team uses it from day one. |
An example pipeline for a small business
This is what the pipeline could look like for a company that sells with quotes, such as a manufacturer or a service company. The stages are adjusted to each case:
| Stage | What happens | Typical next step |
|---|---|---|
| New lead | Came in through the website, WhatsApp, Instagram or a campaign, with its source. | Reply the same day, ideally within minutes. |
| Qualified | You know what they need, how much and by when. | Ask for the missing details to quote. |
| Quote sent | The customer has the number. | Follow up after 2 or 3 days. |
| Negotiation | There are questions, changes or a counteroffer. | Answer questions and set a decision date. |
| Won or lost | Closed or dropped, with the reason. | Move it to production, or note why it was lost. |
An illustrative example. During the implementation we build it with your company's real stages.
Just by logging the reason for each lost sale, within a few months you'll know whether you lose on price, on lead time or on slow replies. That data is worth more than any hunch.
What about WhatsApp?
It's the most common question. There are two paths, and we explain both with their costs before you choose:
- No per-message cost: the WhatsApp button on your website opens the chat with a prefilled message and the lead is logged in the CRM; from the customer's record you open the conversation in one click. Your team keeps using WhatsApp Business as usual.
- Direct integration: connecting WhatsApp to the CRM through the official WhatsApp Business API lets you see conversations inside the CRM, but Meta charges for conversations. We only consider it if the volume justifies it, with the cost on the table.
To make sure those leads arrive organized, we add an AI assistant on your website that hands leads off to WhatsApp: it answers the common questions, qualifies the lead and opens WhatsApp with the request already written, with no per-message cost.

How we work
- Free assessment: we look at where your leads come in and what happens to each one.
- Process design: stages, fields, owners and response times. If how you sell needs sorting out first, we do it through sales consulting.
- Implementation: we set up Pipedrive and connect the forms and lead sources.
- Training and adjustments: we stay with you for the first few weeks and fix whatever isn't being used.
If later on you want to automate alerts and follow-ups, we add them with n8n automations. And if your leads come from ads, the source of each one connects with your Meta Ads and Google Ads campaigns.
